Expense Claim Form

All Board & Coordinator members, Instructors, and Trip Leaders, wishing to claim re-reimbursements,  instructor’s remuneration, budgeted items, etc, must fill out the form and provide backing information such as receipts, hrs taught, trips led, etc. Form can be submitted by email with scanned supporting info. Smartphone pictures are acceptable as a means of scanning info and form to email. Several items on one form is encouraged for convenience.
NOTE:  present form is currently being “modernised” to become more user friendly.

All Coordinators can use this form to submit their annual budget in the spring.  The form can be submitted by email to the TREASURER and the BOARD.

Organizations must carry their own insurance and provide proof of insurance to the Club in writing. We offer our equipment to community groups on the understanding that any required repairs will be made or paid for by the borrower.   Organizations will sign that they agree to these conditions prior to taking equipment.

Equipment Coordinator to replenish as needed.  Used by Instructors & Trip Leaders.

Instructors & Trip Leaders will reserve equipment when they know what is required.  Equipment reservation binder is located in the BCKC Boathouse are to be filled with an adequate supply of blank “Equipment Reservation Sheets”.   The Equipment Coordinator will check and replenish as needed.

Equipment Coordinator to replenish as needed.  Used by Instructors & Trip Leaders.

Used by Instructors & Trip Leaders to sign out equipment for Trips, Courses & Clinics.  Equipment sign-out/in binders located in the BCKC Boathouse are to be filled with an adequate supply of blank “Equipment Sign-out/in Sheets”.   The Equipment Coordinator will check and replenish as needed.

Program Coordinator to TEAM Publicity, Website, Membership Coordinators and Treasurer.

Used by Program Coordinator to compile monthly General Meeting Agenda and information needed by team members to make all aspects of each monthly meeting a success.  Complete one form for each month and email the TEAM, by the first week in December for January to May meetings and by the first week in September for October to December meetings.

BCKC Members may affix their membership card to this NVCA pass for free parking at the Nottawasaga Valley Conservation Areas.
